Commercial HVAC · Closeout desk

Install complete.
Paperwork, finished.

Turn scattered equipment records into a checked, source-linked handover package. Built for small commercial HVAC contractors—not another portal to manage.

Pilot-stage offer. Scope first; no payment or uploads on this site.

Turnoverly hero

Finish the job. Keep the knowledge.

Ordinary files. Clear exceptions. Reusable records.

Our founding commitments

Human-checked identifiers

Missing evidence stays visible

Your GC’s existing process

01 / The handover dossier

More than a neatly merged PDF.

Know what is documented, where it came from, and what still needs an answer.

Open item / warranty start date

Not evidenced. Customer confirmation required.

Illustration only—not a delivered customer package.

01

Send the checklist, not a perfect folder.

We agree the scope against your GC’s requirements and available manuals, schedules and equipment records.

02

Check the records. Surface the gaps.

A person checks equipment identifiers, document versions and source references. Unresolved or contradictory items get an explicit gap list.

03

Hand over through the usual channel.

Receive an indexed PDF, source-linked register and organized originals. You verify installed equipment, sign off and submit to your GC.

The next project shouldn’t start from zero.

The monthly desk includes a customer-owned equipment library with source references. Reuse verified records where appropriate—while checking project-specific models, versions and facts every time. Customer files stay separate, not pooled across accounts.

A practical fit check

What does closeout cost you now?

At $50 per hour, the proposed $1,000 monthly desk equals 20 internal hours. If you spend only six hours a month, this may not be the right offer. Your final review still takes time.

$300/ month internally

Illustrative cost only. Not a savings forecast.

02 / Bounded responsibility

Start with one real project.

Proposed pilot terms to validate the service. These are not connected checkout offers; availability and scope require written agreement.

INTRODUCTORY PILOT

$500

One bounded closeout package.

Scope my $500 pilot

50% deposit after scope agreement; 50% on delivery. Deposit refunded if files fail agreed intake criteria before work starts.

RECURRING CLOSEOUT DESK

$1,000 / month

Up to two packages, a reusable equipment library and one revision per package. Monthly prepayment; cancel before renewal. Unused capacity expires.

Additional in-scope package: $600.

Occasional work: $750 per standalone package after the pilot. Larger scopes: written fixed quote.

Every package includes

One project, up to 10 equipment types and 100 input pages. Source-linked register, gap report, indexed PDF and original files. Two supplier follow-up rounds over ten business days; one revision within 30 days. Our assembly errors are corrected without using your revision.

When will my package be ready?

We target the first package within five business days after complete inputs. Missing evidence pauses final issue. Follow-up is bounded, not unlimited, and GC acceptance is not guaranteed.

What remains my responsibility?

You verify installed equipment, confirm project facts and provide final sign-off. We do not make engineering judgments, create as-builts, commission equipment, author warranty promises, prepare lien documents, certify contractual compliance or recover payment. You submit the package through your GC’s process.

Can I upload confidential records here?

No. This prototype has no connected intake or secure project upload. Permissioned folders, retention and deletion terms, and any AI-processing permissions must be agreed and tested before confidential files are accepted.

03 / Finish the job

A handover due this month?
Start there.

Build a short brief for a scope conversation. Start with the deadline and a redacted GC checklist—not a confidential upload.
